Terms of Service

These terms govern your use of FleetMate, the fleet bookkeeping service operated by NurSoft AI. By creating an account or using the service you agree to them.
1. Who we are and what these terms cover
FleetMate (fleet.nursoftai.com) is provided by NurSoft AI, based in Kenya ("we", "us"). These terms are an agreement between us and the business or person using the service ("you"). If you use FleetMate on behalf of a fleet business, you confirm you are authorised to accept these terms for it.
2. The service
FleetMate is bookkeeping and operations software for fleet owners: it records trucks, drivers, trips, expenses, income, payroll and settlements, and produces reports from what you enter. FleetMate is a record-keeping tool — it is not an accounting, tax, legal or financial advisory service, and its outputs depend on the accuracy of the data your team enters.
3. Accounts and workspaces
- You must provide accurate account information and keep it up to date.
- You are responsible for keeping your credentials confidential and for all activity under your account.
- Workspace admins control who can join their workspace and what each member can see and do; we act on those settings.
- Tell us promptly at no-reply@nursoftai.com if you suspect unauthorised use of your account.
4. Acceptable use
You agree not to:
- use the service for anything unlawful, fraudulent or misleading;
- upload content that infringes someone else's rights or contains malware;
- attempt to gain access to another workspace's data, probe or disrupt the service, or circumvent its security or access controls;
- resell, sublicense or scrape the service without our written consent;
- use the service to build a competing product.
We may suspend or terminate accounts that breach these rules.
5. Your data
Your fleet's records belong to you. You grant us the limited rights needed to host, process, back up and display that data in order to run the service. Our handling of personal data is described in the Privacy Policy, which forms part of these terms. You are responsible for having the right to enter the data you record — including your drivers' and staff's details — and for the accuracy of your records.
6. Fees
Where your use of FleetMate is subject to fees, the price, billing period and payment terms are those agreed with you when you sign up or in your order with us. Fees are non-refundable except where the law requires otherwise or we agree in writing. We may change pricing with at least 30 days' notice before it applies to you.
7. Availability and changes to the service
We work to keep FleetMate available and dependable, but the service is provided "as is" and "as available" — we do not promise it will be uninterrupted or error-free. We may improve or change features over time; if a change materially reduces the service you pay for, we will tell you in advance.
8. Limitation of liability
To the fullest extent permitted by Kenyan law: we are not liable for indirect, incidental, special or consequential loss, loss of profits, revenue or data, or business interruption arising from your use of (or inability to use) the service; and our total aggregate liability under these terms is limited to the fees you paid us for the service in the 12 months before the event giving rise to the claim (or KES 10,000 if you have paid no fees). Nothing in these terms excludes liability that cannot be excluded by law, including for fraud.
9. Indemnity
You will indemnify us against third-party claims arising from your breach of these terms or your unlawful use of the service, including reasonable legal costs.
10. Suspension and termination
- You may stop using FleetMate and ask us to close your workspace at any time.
- We may suspend or terminate access for breach of these terms, non-payment, or where required by law — with notice where reasonably possible.
- On termination you may request an export of your records within 30 days; after that we delete data as described in the Privacy Policy.
11. Changes to these terms
We may update these terms from time to time. For material changes we will give notice — by email to workspace admins or in the product — before the new terms take effect. Continuing to use the service after that date means you accept the updated terms.
12. Governing law and disputes
These terms are governed by the laws of the Republic of Kenya. Disputes that we cannot resolve together informally are subject to the exclusive jurisdiction of the courts of Kenya. Please contact us first — most issues can be sorted out directly.
